1. Overview
ClearMD Solutions LLC ("ClearMD," "we," "us," or "our") operates MDM Clarity at mdmclarity.com. This Privacy Policy describes how we collect, use, and protect information when you use our service. By using MDM Clarity, you agree to the practices described in this policy.
2. Clinical Notes — Never Stored
🔒 Clinical notes and Assessment & Plan text submitted to MDM Clarity are processed in real time and are never stored, saved, logged, or retained on our servers.
When you submit a clinical note for analysis, the text is:
- Transmitted securely to our server over HTTPS
- Passed to the Anthropic Claude API for real-time processing
- Returned to your browser as analysis output
- Immediately discarded — never written to disk, never stored in a database, never logged
We have independently audited our server code to confirm zero persistent storage of note content. No globals, caches, databases, or log files capture submitted clinical text.
3. Information We Collect
Access Request and Account
When you request access at mdmclarity.com, we collect your full name, email address, and clinical specialty. This information is submitted directly to our own servers and stored in our database. If your request is approved and you set a password, we store only a securely hashed version of it — never your password in readable form.
We use this information solely to:
- Create and administer your account
- Send account email such as approval and password reset messages
- Communicate product updates and announcements
- Understand our user base for product development
Usage Records
Each time you run an analysis, we record a usage entry containing your account email, the type of request, the time it was made, and performance measurements such as response time. These records let us monitor reliability, capacity, and cost. They never contain clinical note content.
We do not collect:
- Payment information
- Patient data or Protected Health Information (PHI)
- Clinical note content (see Section 2 above)
- Browser fingerprints or tracking cookies
4. How We Use Your Information
We use the personal information you provide (name, email, specialty) for the following purposes only:
- Creating and administering your account, including approval and password reset email
- Product updates, feature announcements, and launch communications
- Responding to your questions or support requests
We will never sell, rent, or share your personal information with third parties for marketing purposes.
5. Third-Party Services
MDM Clarity uses the following third-party services:
Anthropic API — Clinical notes are transmitted to Anthropic's API (api.anthropic.com) for AI processing. Anthropic's data practices are governed by their own privacy policy and terms of service. We recommend reviewing Anthropic's policies at anthropic.com. At this time, ClearMD does not have a zero data retention agreement with Anthropic.
Resend — Account email (access approvals, password resets, and notifications) is delivered through Resend (resend.com). Resend receives your email address and the contents of those messages. Clinical text is never included in any email we send.
Railway — Our application and database are hosted on Railway (railway.app). Railway provides cloud infrastructure and may collect standard server logs including IP addresses and request metadata. Clinical note content is not present in any server logs.
Plausible Analytics — Our public marketing pages use Plausible (plausible.io), a privacy-focused, cookieless analytics service that does not track individuals across websites and does not use tracking cookies. Plausible is not loaded on the signed-in application or on any account page.
6. No PHI — Your Responsibility
MDM Clarity is not a HIPAA-covered entity and does not execute Business Associate Agreements (BAAs) at this time. You are solely responsible for ensuring that no Protected Health Information (PHI) is submitted to MDM Clarity. Submit de-identified Assessment and Plan text only — no patient names, MRNs, dates of birth, or other identifying information.
7. Data Security
We implement reasonable technical measures to protect information transmitted to and from MDM Clarity, including HTTPS encryption for all communications. However, no internet transmission is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain your name, email, and specialty for as long as you are an active user of MDM Clarity or until you request deletion. Usage records are retained for the life of your account. Clinical notes are never retained (see Section 2).
9. Your Rights
You may request deletion of your personal information (name, email, specialty) at any time by emailing us at saad@mdmclarity.com. We will process deletion requests within 30 days.
10. Children's Privacy
MDM Clarity is intended for licensed healthcare professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
11. Changes to This Policy
We may update this Privacy Policy as our service evolves. We will notify registered users of material changes by email. Continued use of MDM Clarity after changes constitutes acceptance of the updated policy.
